Users and roles
Users are who signs in to Erlangly. Admins invite them, and choose what each can do with a role. An agent's sign-in belongs to their person on the roster, so it shows their own schedule: see People and teams for the difference.
Inviting planners and supervisors
- Settings → Users → Invite someone.
- Their name, email and role.
- Choose Invite.
With email set up, they're emailed a link. Without it, copy the link from their page under Settings → Users and send it yourself. It works for 7 days, and their page always shows a fresh one.
Inviting agents
Invite agents from People, so their sign-in is linked to their person and shows their schedule. They need an email address on their page first.
- One at a time: on their page, Invite their name to see their schedule.
- Everyone at once: People → Invite to sign in invites everyone on the list with an email address who can't sign in yet. It needs email set up.
An agent invited from Settings → Users instead isn't linked to anyone on the roster: their My schedule asks them to have you invite them from People.
What agents see when they join: Your schedule.
Roles
- Agents: their own schedule, time off and swaps. See Agents.
- Supervisors: the wallboard and adherence, and deciding time off, swaps and exceptions. They see schedules, forecasts and people, without changing them. See Supervisors.
- Planners: all that, plus forecasts, schedules, people and teams, and the settings for lines of business, shift patterns, labour rules, wallboard alarms and exception types. See Planners.
- Admins: all that, plus users, the organisation, ACD connections, email, sign-in, backups, exports and the licence. See Administrators.
Nobody decides their own time off, swaps or exceptions: another supervisor does.
Planners, supervisors and admins who also take contacts can be on the roster too. They then get My schedule as well.
Changing someone's access
Open them under Settings → Users to change their name, email or role.
- Can sign in: turn it off to stop someone signing in. It signs them out everywhere, and their history stays. They show as Deactivated.
- Leavers can't sign in once they've left: see People and teams.
Forgotten passwords
- With email set up, anyone can choose Forgot your password? on the sign-in page.
- If the email doesn't reach them, open them under Settings → Users and send them the password reset link there. It works for 15 minutes.
